Editing listings in bulk

How selection works, what each bulk action does, which ones cost money, why some listings get skipped, and how to read the result.

Editing listings in bulk

Selecting listings on the grid brings up four actions: change section, activate, deactivate and edit tags. They run in the background against Etsy, one listing at a time.

Selection works per page

Selecting everything selects everything on the current page, not the whole shop. Changing page clears the selection.

That is deliberate. An action across an entire catalogue is hard to review and, in the case of activation, expensive. Working a page at a time keeps the number in front of you honest.

Page size goes up to 200, so check which size you are on before selecting all.

The four actions

Edit tags adds or removes tags across the selection. Etsy allows thirteen per listing, and adds are ignored on a listing already at thirteen. This is the fastest way to roll out anchor tags.

Change section moves listings into one of your Etsy shop sections.

Deactivate takes live listings off sale. It is free, and it is reversible.

Activate brings listings back. This one costs money. Etsy charges its listing fee each time a listing is published or renewed, so activating fifty listings means fifty fees. Elistit shows the count and the total before you confirm, and puts the figure on the confirm button. See Refresh, renew, expire.

Why listings get skipped

The confirmation lists what will be left out and why. Etsy only accepts a state change to active or inactive, so an action that makes no sense for a listing’s current state is not sent at all.

Common reasons:

  • Already expired. Nothing to deactivate.
  • Already active, when activating.
  • Still a draft. Publishing happens in your Etsy dashboard.
  • Never reached Etsy. A failed listing does not exist there.

Skipping is better than sending. Queueing work Etsy will certainly reject produces a pile of failures you then have to interpret, and none of them tell you anything useful.

Reading the result

The job runs in the background and reports when it finishes. Three outcomes:

  • All updated. Nothing more to do.
  • Some failed. The message includes Etsy’s own reason. Those reasons are specific and worth reading: a missing image or an incomplete shipping profile is a real blocker on that listing, not a glitch.
  • Timed out. The job is still running on the server. Come back and check the listings rather than starting again.

You can leave the page while a job runs. It continues on the server.

A safe order of work

  1. Filter first. Narrow to one status before selecting anything. Bulk actions on a mixed selection produce mixed results.
  2. Start with a small page. Run one action on 50 before running it on 200.
  3. Read the confirmation. Especially the skip list, which tells you whether your filter was right.
  4. Do the free things freely. Tag edits and section moves cost nothing. Experiment.
  5. Treat activation as a purchase, because it is one.

FAQ

Can I undo a bulk action? Not as one step. Deactivating can be reversed by activating, though that incurs the listing fee. Tag edits can be edited again at no cost. There is no single undo button for a whole job.

Does bulk editing use credits? No. Editing existing listings is free in Elistit. Credits are for creating new products.

How long does a job take? Roughly a second or two per listing, because Etsy is called once per listing and we stay inside their rate limits deliberately.

Can I run two jobs at once? Finish one before starting another. Two jobs touching overlapping listings can undo each other.

Will bulk tag edits wipe my existing tags? No. Adds and removes are applied to the tags already there. Nothing is replaced wholesale.

Can my assistant run bulk actions? Yes, if you have shared the workspace with them.
